Our Legal Obligations

At West Allotment Wildlings, we take our legal obligations seriously. You will see below our safeguarding policies as well as constitution - if you ever have a comment about this, please get in touch

Constitution

West Allotment Wildlings operates under a formal constitution that sets out how the club is run, how decisions are made, and how we make sure our community remains safe, fair, and inclusive.

At its core, our constitution exists to support three key aims:
to provide a safe and welcoming environment through tabletop gaming,
to encourage fair play and good sportsmanship,
and to offer a supportive space for playing, painting, modelling, and creativity.

Membership is open to people of all ages, with new members welcomed through our community spaces and supported by our Admin team. Clear expectations are in place so everyone understands how the club works and what behaviour is expected, helping us maintain a respectful and positive atmosphere for all.

The day-to-day running of the club is overseen by an elected Executive Committee made up of Officers and Admins. This group is responsible for organisation, finances, safeguarding, and ensuring the club operates in line with its values. Decisions are made transparently, with members having a voice through General Meetings and the Annual General Meeting.

Our constitution also sets out clear processes for safeguarding, financial oversight, membership fees, discipline where needed, and how the club can grow or change responsibly over time. This ensures accountability, fairness, and long-term stability for the community.

In short, our constitution provides the framework that allows West Allotment Wildlings to remain a safe, well-run, and welcoming space for everyone who takes part.

AGM Documentation

Our Annual General Meeting (AGM) is an open meeting where we review the past year, share plans for the year ahead, and give an update on how the club is run. It is also where key roles and responsibilities are confirmed and members can ask questions or raise ideas.

The AGM takes place every February and is open to everyone. Both members and non-members are welcome to attend, listen in, and learn more about how West Allotment Wildlings operates.

We see the AGM as an important part of being open, transparent, and community-led, and we encourage anyone with an interest in the club to come along.

Safeguarding policies and procedures

West Allotment Wildlings takes safeguarding seriously and has clear policies and procedures in place to protect children, young people, and adults who attend our sessions. These policies outline how concerns are identified, reported, and managed, and the responsibilities of our Admin team and safeguarding leads.
